öALL TRAVEL OUTSIDE OF THE UNITED STATES – REQUIRES A VALID PASSPORTö

We at Trips R Us want to do everything possible to make sure our clients have an awesome experience. To assure this, we must have the appropriate staff to client ratio (1:5) to meet everyone's needs. Staff ratios are approximations and may vary accordingly to the needs and levels of the clients (as a whole.) We also rate the pace of our trips: 1 sun= slow-paced, 2 suns= typically paced, 3 suns= fast paced, if unsure which trip is appropriate for your client(s), please contact Trips R Us for more information. A Client Information Form and Seizure Sheet (if applicable) MUST be completed in its entirety prior to attending ANY programs/trips. Guardians/parents/house staff must disclose ANY and ALL information pertaining to the person(s) in their care in order for Trips R Us to assure everyone has a safe, comfortable, and enjoyable experience. Trips R Us is not responsible for any situation that may occur due to inadequate disclosure of pertinent information.

  • Trips R Us can organize trips for clients that are slower paced (contact Trips R Us to inquire information on a slow-paced trip.) These trips will be geared for clients that cannot withstand 5-6 hours of walking a day, which is the average amount of time spent walking on vacations and day trips such as: Disney, London, Paris, Six Flags & other amusement/theme parks, and Las Vegas. Most slower paced clients do not have the stamina to keep up with the typical groupClients requiring complete and total care must provide their own personal care assistance and will be charged a predetermined reduced cost to attend trip. Trips R Us requires a minimum amount of travelers for a slow-paced trip or program to operate successfully. A client, who registers for a fast-paced trip, who should actually join a slower-paced trip, runs the risk of being canceled prior to departure of the trip or sent home early at his or her own expense with no refund. Many of the fast paced trips require many hours of walking (at times) and clients should be able to walk comfortably at the pace of the group.

  • At this we are no longer able to transport in our 15-passenger van, individuals, who require the aid/use of adaptive equipment (e.g. walker, wheelchair).  We are terribly sorry about this, but as always our main concern is the safety of our travelers traveling with us.  At this time we do not have a wheelchair accessible van and would have to place the wheelchairs and walkers in the aisle/opening of the double doors in our van.  We are no longer able to place anything in this area; as this is the only means for an exit/emergency exit for people traveling in the van.  We apologize if this has caused you any inconvenience in anyway and would be more than willing to discuss any alternatives you may suggest.

  • Please know that Trips R Us reserves the right to cancel a program or trip due to lack of minimum enrollment. We will keep you updated on enrollment for trip; if there is a chance it will not run. We will give you as much notice as possible if a trip or program must be canceled and you will receive a complete refund, keep it as credit, or use it towards a different trip. Activities and Prices are subject to change due to any unforeseen circumstances that might cause a significant increase in price (i.e. gas, airline tickets.)

  • Reserving your vacation: A deposit of $500.00 for all big trips is requiredPayment plans are available for all trips over $500.00. Full payment must be received no later than 45 days prior to departure of our trip. For cruises we require full payment 65 days before the sailing date.

  • Due to all the heightened security at the airports, all travelers must have a VALID photo ID. We suggest either a state ID Card issued by the Registry of Motor Vehicles, and/or a valid passport. Trips R Us allows only one suitcase and one carry on (backpack, small gym bag) when arriving at the airport. We are not responsible for luggage, bags, backpacks, etc. if they are not properly labeled. Trips R Us is not responsible for a traveler missing a trip due to improper identification and documentation or being late for the flight. We will not offer refunds in these cases.

  • Cancellations by guest: Trips cancelled must be in writing and received 45 days prior to the date of your vacation, if so your payments will be refunded less a $30.00 handling fee. In the event of cancellation AFTER our 45-day policy, we will try to fill your spot with another traveler; if that is possible, we will return your payment less $30.00 handling fee and any transfer charges. If we are unable to fill your spot, you will be charged any pre-paid purchases such as airline tickets, cruise, train tickets, shows tickets, and a percentage of the hotel room (if applicable), plus $ 30.00 handling fee will be charged. Cancellation within 7 days before our travel date there will be no-refund. We cannot give any refund for missed trips due to late arrival or lack of proper identifications at the airport.

  • We strongly suggest Trip Cancellation Insurance to protect yourself…if you need to cancel for some unforeseen reason. Call Trips R Us and we will send you an application in the mail from TRAVELEX or visit their website at www.travelex-insurance.com for any question or concerns. This is the only way to cover yourself if you need to cancel your vacation and receive a full refund allowed by TRAVELEX's insurance policy.

  • All new clients that join us on a Trips R Us overnight trip must be interviewed with guardian/staff before they can attend any overnight trip. All of our trips and programs are first come first serve and are limited in how people we can take, so register early to hold your spot.

  • CONDUCT Trips R Us reserves the right to expel any participant from a trip for any lawful reason, including, but not limited to, violation of Trips R Us rules and regulations and conduct detrimental to him/herself, other participants, the general public, or Trips R Us agents or employees. Any expenses incurred by Trips R Us due to the expulsion of a participant, including, but not limited to, increased transportation, accommodation, and communication costs will be the responsibility of the participant and must be paid to Trips R Us, Ltd.

Our Medication Policies
Please pay careful Attention!

Trips R Us is committed to providing safe and enjoyable programs and vacations for our guests. Accordingly, we feel a safe and uniform medication program is necessary to ensure the well being of our guests. Please know that Trips R Us is prohibited from administering medication. Our Policy is that we are able to hand our consumer their medication that has been pre-dispensed by their family, pharmacist, or legal guardian. Clients are well supervised when taking their pre-dispensed medication.

Any consumer that arrives with medication not packaged according to our specifications, WILL NOT be allowed to go on our overnight trips. We ask you to please pay extremely careful attention to all of Trips R Us' critical policies.

In response to the changing regulations for group homes and care providers, Trips R Us is trying to be as adaptable as we can regarding medications. Therefore we now have several options for medication packaging, each of which allows us to depart for a trip with all travelers' medications packaged in the safest way possible.

OPTION #1 - Provider or referring party packages medication as indicated ON ATTACHED policies.

OPTION #2 - Travelers who are completely handling their own medication regime may arrive with their medication in bottles, appropriately labeled by a pharmacy, and may hold their own medications. They must arrive in a locked container and the consumer must be able to understand that the container must be locked at all times when not in use. Also an extra key must be provided to the program director running the trip and must be checked in at the beginning of the trip. Referring parties accept full liability and responsibility for this recommendation, understanding that referring a guest for this method is a serious commitment. In referring a traveler for this medication method, you are specifically stating that the traveler is able to handle their own medication completely, with no assistance or supervision, AND that they are able to keep those medications safely stored to prevent access by any other traveler.

PACKAGING REQUIREMENTS

  1. Medication must be pre-packaged by the consumer's caretaker or person responsible for consumer. We ask that they be in 2x3 coin envelopes by dose, and each envelope marked WITH the Consumer's name, day, date, time of dose, dosage, brief description, and the name of the medication in the envelope (see example below).

  2. These per-dose envelopes should be placed in a large manila envelope, with any relevant information. Each envelope should be marked with the consumer's name. In the case of prescription crèmes, ointments, syrups, etc, there should be an index card for EACH dose time and day, filled out exactly the same way as the meds envelope.

  3. All medication must be checked in at the departure point.
UNDER NO CIRUMSTANCES SHOULD MEDICATIONS BE PLACED IN A TRAVELERS' LUGGAGE.

  4. A separate medication schedule is required; even for those travelers designated as self-medicating, so we are aware of what medication our consumer is on, in case of an emergency.

  5. Special instructions regarding medication (i.e. blood pressure reading, refrigeration, etc.) Must be reviewed with the Trips R Us staff leader prior to approval.

  6. Please send an extra 1 days medication to allow for unexpected events such as spillage, transportation delays, etc. Please Do Not send medications (except liquids, of course) in bottles, baggies, or paper bags.

  7. If sending liquids, PLEASE BE SURE they are properly sealed, tightly and are wrapped in their own individual plastic bag to eliminate/minimize spillage.

  8. Trips R Us must refuse to accept any traveler whose medications are not packaged according to this policy.

  9. YOUR COIN ENVELOPES and/or INDEX CARDS SHOULD LOOK EXACTLY LIKE THE EXAMPLE BELOW.

Your medication or index cards should look like this:

Regarding Medication Records

Trips R Us keeps a record of those whose medication we monitor. That records states, by name, the individual who supervised each consumer during each of their administrations of medications on the trip. We are happy to provide you with a copy of this record upon advanced request. The record requires staff to sign off each and every time a guest takes their medication and indicates that the staff has witnessed the guest taking the medication that was in their predisposed envelope.

Trips R Us staff is not allowed to sign administration records from group homes or care facilities. However, your copy of our record does reflect that the guest took the medications and the time and date they took them, during their periods of vacation with us.
